Vehicle Reservations
You can drive or sit back and relax with a driver for your next on or off-campus destination. Vehicles accommodate seating from one to 44.
Daily Reservations and Driver Services
- Vehicle rentals for less than 14 days.*
- Reservations made through the Fleet Vehicle Reservation Form
- Requires spend authorization from your Financial Officer.
- Add a driver to enhance your trip.
Long-Term Reservations
- Vehicle rentals for an extended period of time, typically by semester or fiscal year, but can be for as little as 14 days.
- Requests made by emailing a completed Long-Term Vehicle Assignment Request (pdf) form to [email protected].
- Emails from the Budget Executive and Financial Officer may be sent in lieu of obtaining signatures from them for the form. When doing so, the completed form should be emailed to Transportation Services by the Financial Officer.

*Use of a 15-passenger van requires completion of a University-sponsored online training program. Drivers who have not previously completed this training must contact Fleet Operations in advance of their reservation for access to complete the training.

If Transportation Services cannot fulfill a reservation, a third-party provider may result in higher fees than initially quoted.
*Hourly rates for driver trips begin 30 minutes before and end 30 minutes after the scheduled reservation times to allow time for pre and post-trip vehicle inspection.
Cancellation Policy
Daily Rentals:
- Cancel at least one (1) business day before rental date: No penalty.
- Fail to cancel or pick up on rental day: $50 no-show fee charged to the associated University department.
Driver Services:
- More than 10 days before departure: No penalty.
- Between 10 days and 24 hours before departure: Charged driver rate only.
- 24 hours or less before departure: Charged driver rate + full vehicle rental cost.
How to Cancel:
All cancellations must be submitted in writing via email to [email protected] or by phone at 814-865-7571.
Charges will be applied to the budget provided at the time of booking.
